The best part of Personal Training is working with clients, but successful trainers take time to regularly update their client files. This may not be the most exciting part of being a Personal Trainer, but it could be the habit that makes you a successful Personal Trainer.

Regularly Update Client Files & File Audits

Update Your Client FilesResults & Retention

Take time to regularly update your client files. Try doing this at the end of every session, or at least at the end of every day. Here at Northwest Personal Training we have moved to digital client files for client stats, which makes the process even easier.

Set Expectations

It is also important to set expectations on what documentation should be included in a client file and what type of stats should be regularly measured and recorded. We provide these expectations to our staff and conduct file audits at least once per year.

Conduct File Audits

September is “File Audit” month at Northwest Personal Training. Our Personal Training Manager will schedule time with each trainer this month to review their files. She will be checking to ensure workouts are being recorded and that assessments have been logged. Conducting the file audits is a an opportunity for staff to ensure that they have been following expectations and for managers to check that files are being updated. Remember to give your staff a heads up before any review or assessment. It is best that they know what to expect and can be prepared.

Success is in the Details

Client Retention & Results

Regularly recording client stats allows you to customize your client’s experience, which means satisfied clients with better results. You can’t show a client how they are progressing or create individualized programs with out data. So, keep up with your client’s files. Keep your clients.

Seamless Trainer Substitutions

The process of subbing for another trainer should be seamless for the client and the trainer. This is hard to do, but the Personal Training business that do this well have happier clients. The only way to accomplish seamless trainer substitutions is with accurate and up to date client files. Whether you record client progress and info digitally or manually, client files need to be accurate and up to date.

It may not be the most exciting part of being a personal trainer, but keeping up with your client files is a habit that will help you stay at the top of your game. Give your clients the individualized attention they need and watch your retention numbers grow.
